Meeting Room 1 Bookings

• We only accept reservations on the terms set out in this document. By completing this form you are agreeing to abide by our room hire terms. We shall not be able to hold your reservation for you unless a completed booking form is received within seven days of your provisional booking. If we have not received the completed booking form within seven days, we will contact you to confirm that your provisional booking has been cancelled and removed.
• The charge for room hire includes the use of all in room facilities (see page 2 of this document). If there is anything else you require, please let us know. If we are able to meet your request we will confirm this in writing.
• The room will be provided with 1 flip chart pad as part of the hire charge. if you need additional flip chart pads please let us know. These will be charged at £10 per chart.
• Please note that our opening hours are 8:30 – 17:00. If your booking starts or finishes outside of these times you will be charged £30 per hour + Vat in addition to any room hire charges.
• Access to the meeting room will only be granted from the start time specified on your booking form. If you need to access the room before your booked time or your booking runs over, you will be charged for the additional time. When making your booking please consider any time you require for room set up.
• A Full Day booking constitutes 8hrs, a Half Day booking constitutes 4 hours. Bookings for any other duration will be charged based on hours used at the rooms hourly rate i.e, a booking for 5 hours will be charged at 5 x room hourly rate.
• You must pay to reserve the using this portal.
• If you cancel your booking, we will charge a cancellation fee depending on the length of notice provided. The cancellation fee is based on the number of days remaining until the booking is due to take place and are as follows:

• • Less than 24 hours notice: 100% of the room hire charge.
  • 1 to 7 days notice: 50% of the room hire charge.
  • Over 14 days notice: £25.00 +Admin Fee

Please Note: Where catering has been arranged the same cancellation terms apply.

• In exceptional circumstances we may have to cancel your reservation. We shall only do so if:
  • We are closed due to circumstances beyond our control i.e., fire
  • You are declared bankrupt or become insolvent.
  • Where it is identified that the nature of the meeting may be disruptive to other occupiers.

• If we do cancel your reservation for any of the above reasons, we shall refund any advance payment you have made but shall have no further liability as a result of the cancellation.
• We shall hold you liable for any loss or damage to our property caused by you or anyone attending your meeting. We reserve the right to invoice you for the full replacement cost.
• We are able to provide refreshments and catering for your meeting. If you require these, please detail your requirements on the booking form. As part of the booking, you will need to inform us of the times refreshments are needed and the numbers required.
• Once confirmed a booking cannot be moved unless agreed in writing.
• Receipts will be generated via the booking system.
• The minimum room booking duration is a half day.
